The questions to ask before you buy

1. Do I own my patients, or does the software?

This is the most important question and the one people ask last. Some “booking” products are really aggregator platforms: they bring patients but keep the relationship, take a commission on bookings, and list your competitors beside you. Real clinic software works the other way — patients book you, and the records, contact details and follow-ups belong to your practice.

2. Does the online booking sit on my own page?

Booking should feel like part of your clinic — your name, your doctors, your slots — and be shareable as a link on WhatsApp, Google Business Profile or Instagram. If patients have to go to someone else’s marketplace to book you, you’re renting access to your own patients.

3. Does it handle GST billing properly?

India-specific and non-negotiable. Generic international clinic software often doesn’t do compliant GST invoicing, and you’ll end up back in Excel. Check the invoice format before you commit.

4. Will it handle multiple doctors and branches?

Even if you’re one doctor today, choose a system that supports more. Migrating patient records later is painful; growing into software you already have is easy.

5. What happens to my data if I leave?

Ask whether you can export your patients and records. If the answer is vague, that’s your answer. Your patient data is your practice’s core asset.

6. Will my front desk actually use it?

The best system is the one your staff adopt. If it takes more clicks than the register did, they’ll quietly go back to the register. Insist on a live demo with your own receptionist in the room — not a slide deck.

Online booking is the feature everyone asks for, but its value isn’t “modern-looking.” It’s practical:

  • Fewer no-shows — because automatic reminders go out without anyone remembering to send them.

Honest advice on cost

Judge cost per patient, not per month. A flat software fee gets cheaper per patient as you grow busier. A commission on every booking does the opposite — it scales with your success, forever. Two clinics paying “the same” can end the year very differently depending on which model they chose.

And be wary of “free” booking tools. Free usually means you’re paying with your patient relationship, your data, or your visibility.

Start with your biggest leak, not with everything

You don’t need to digitise the whole clinic in week one. Pick the thing costing you most — usually no-shows, phone chaos, or hand-typed billing — and fix that first. A good platform lets you switch the rest on as you go, rather than forcing a big-bang change your staff will resist.
